This is the register and Data Protection Statement in accordance with Talent Hunters Oy's Personal Data Act (Sections 10 and 24) and the EU General Data Protection Regulation (GDPR). Prepared on 18.05.2018.  Updated ​07.03.2023.

Talent Hunters Oy's customer, company, candidate and marketing register.

 

4. Legal basis and purpose of the processing of personal data

The legal basis for the processing of personal data under the EU General Data Protection Regulation is the related client or jobseeker relationship, the client's or candidate's consent, the client's mandate or other material connection. The information collected by Talent Hunters Oy is lawful and limited to a specific purpose. We will not disclose your information to third parties unless there is a proper reason to do so.

The data will be kept for as long as it is needed for the purpose for which it was collected and processed, or for as long as required by law and regulations.

The purpose of the processing of personal data is to enable contact with jobseeker candidates, to introduce candidates to client companies, to enable the progress of direct search processes and to maintain client relationships.

 

5. Information content of the register and groups of persons

The information to be stored in the register is:

(a) basic information on the controller's customer community, such as name, position and contact details (address, e-mail address, telephone number) and website addresses, IP address of the network connection, IDs / profiles on social media services, subscriptions and changes, billing information; other information related to the customer relationship and the services ordered.

(b) the name, position, company / organization, employment and training history or other information obtained through the application or CV, the contact details (telephone number, e-mail address, address), the addresses of the websites, the IP address of the network connection; address, IDs / profiles in social media services and results of suitability assessments.

(c) information relating to the customer relationship between the controller and the data subjects, such as ordering information, information on appointments, any direct marketing authorizations and prohibitions, as well as other communications between the parties and information related to the service.

(d) data relating to the use of the service maintained by the controller or its ancillary service, such as first and last name, address, contact details, date of birth, status, employer, sex, mother tongue, username and password, application and various functions, and information provided by the user in the application.

e) the data subject's transactions on the registrar's website, information on behavior on the websites and other similar grouping information, participation in events, information entered in events, contacts with customer service or the registrar, as well as contacts with other Talent Hunters Oy employees and services and newsletter subscriptions.

(f) the first and last name of the registrant who registered for the event, as well as any contact details and information provided for the event. The registration information entered by the registered person for the event may include e.g. the following information: email, phone number, address, date of birth, allergy information, passport number or social security number.

The information will be retained for the periods permitted by law.

 

6. Regular sources of information

​

The information stored in the register is obtained from the candidate candidates or the clients themselves, for example from messages sent via web forms, e-mail, telephone, via social media services, contracts, interviews, customer meetings and other situations where the candidate or client discloses information.

 

In addition, information is obtained from the customer information system and invoicing database, usage and transaction information of websites, blogs and newsletters, through customer relationship management and customer service systems, through the mobile application and Talent Hunters Oy's service, through partners and from personal data service providers and authorities.

7. Regular transfers of data and transfers of data outside the EU or the EEA

​

At the discretion of the controller, the data may be disclosed to customers, subcontractors or partners within the limits permitted and required by the legislation in force at any given time, unless the data subject has refused to disclose the data. The transfer of data to the above-mentioned parties takes place only for purposes that support the idea of the operation of the register.

 

Candidate information is shared with customer companies as part of the normal direct search process or other service provided by Talent Hunters Oy, in which case the person receiving the information from the customer is usually the person who ordered the direct search assignment and / or the recruiter or other customer representative. In addition, information may be published to the extent agreed with the customer.

 

Talent Hunters Oy may also outsource the processing of your personal data to companies outside the company, which may also be located in countries outside the European Union and the European Economic Area, such as the United States. These companies may process personal data to provide, for example, infrastructure and IT services, or other services. In such cases, adequate security and handling of the register will be ensured through the EU-US Privacy Shield, or through the use of model clauses approved by the European Commission.

 

8. Registry Security Principles

 

The register shall be handled with due care and the information processed by the information systems shall be adequately protected. When registry information is stored on Internet servers, the physical and digital security of their hardware is properly taken care of. The controller shall ensure that the data stored, as well as the access rights to the servers and other information critical to the security of personal data, are treated confidentially and only by the employees whose job description it includes. Users are bound by professional secrecy. Manually maintained materials are located in premises that are blocked from unauthorized access.

The destruction of materials containing personal data is done in a secure manner.

 

9. Right of inspection and right to request correction of information

​

Every person in the register has the right to check the information stored in the register and to request the correction of any incorrect information or the completion of incomplete information. If a person wishes to check the data stored about him or her or request a correction, a signed written request must be sent to the registrar at Talent Hunters Oy, Salomonkatu 17 A, 00100 Helsinki. The information is provided to the customer in a comprehensible form and, if necessary, in writing. The controller will respond to the customer within the time limit set by the EU Data Protection Regulation (generally within one month). Checking the data is free of charge once a year.

 

10. Other rights related to the processing of personal data

A person in the register has the right to request the removal of his or her personal data from the register ("the right to be forgotten"). Data subjects also have other rights under the EU's general data protection regulation  such as restricting the processing of personal data in certain situations. A signed written request must be sent  to the registrar at Talent Hunters Oy, Salomonkatu 17 A, 00100 Helsinki. The controller will respond to the customer within the time limit set by the EU Data Protection Regulation (generally within one month).
